Standard operating procedures (SOPs).

The documented step-by-step playbook for how a task gets done the same way every time, in every shift, at every location. The backbone of multi-location operations, franchise systems, and any business where consistency is the product.

Most SOPs live in three places at once: the binder behind the counter, the Google Drive nobody opens, and the head of the manager who's been here longest. When the manager leaves, two of those three sources go with them.

What this looks like in practice

SOPs that nobody can find when they need them.

Buried in a 200-page binder. Six folders deep in Drive. Updated last in 2019 but nobody's sure. The brain ingests every SOP, links them to the situations they apply to, and surfaces the right one when an employee asks, by voice or chat, in the moment they need it.

Updates that travel slowly, or not at all.

A new policy goes out by email. Three locations read it. Two don't. Nobody is sure which version is current. Update once in the brain, and every employee sees the same current version on every device, every shift, immediately.

Tribal knowledge that should be in the SOP but isn't.

The unwritten step. The 'this is how we actually do it.' The exception nobody documented. The brain captures these from conversations, recordings, and on-the-job questions, then surfaces them as candidate SOP updates for your team to approve.

One playbook. Every shift. Every location.

When SOPs live in the brain, the new hire and the ten-year veteran reach for the same source. The procedure your team agreed on is the procedure your customer experiences.
